How KYB Application Works

AdvanGuard platform guide for KYB Application — reviewing, managing, and approving enterprise verification applications.

Scope: This section applies to the KYB Application product only and describes AdvanGuard platform features for reviewers.

Platform Feature Overview

After completing API integration, the AdvanGuard platform provides the following review modules for KYB Application:

Verified
Shows the Profile information for all associated parties. Runs KYC and AML checks on all officers and shareholders before completing the KYB review.


1. KYB Application List

Go to Applications → Company in the left navigation. You can view all historical KYB applications in real time, including:

1 Application ID Unique identifier for this submission. Use it when querying or contacting technical support.
2 Company Name UThe company name currently undergoing KYB verification, based on the parameter you submitted in the API request.
3 Profile ID The unique permanent identifier assigned by AdvanGuard to this company.
4 Review Status Required Manual Review, Approved, Rejected


2. Application Detail — Overview

The Overview tab provides a global view of the KYB application, including application status, basic company information, and entry points to all core review modules:

Company Details

Monitor risk check progress and view multi-source data. Includes Registry Checks, Company AML Checks, Mastercard/Visa Checks, and Singapore NPO Checks.

Reports & Documents

Upload and manage supporting documents for the enterprise entity being verified.

Participatory

Identify and confirm individuals or entities, and perform appropriate manual merging of duplicate records from different data sources.

Officers

Confirm director, legal representative, and authorized signatory information.

Stakeholder

Confirm shareholder and UBO (Ultimate Beneficial Owner) information.

Company Structure

Visualize the ownership tree: shareholders, shareholding percentages, and control hierarchy.

Associated Profile Verified

Final generated Profile information for all associated parties after full KYB review completion.

3. Company Details

Click Overview → Company Details to verify the basic information of the company under review. This section contains three sub-panels:

3.1 Company Main Information

Two data sources are displayed side by side for comparison:

Provided Data

Data submitted by the customer via API or form.

Registry Data

Official data retrieved directly from government registration authorities.

3.2 Company Additional Information

Displays non-standard fields included in the onboarding form. Future support for custom parameters via OpenAPI is planned to meet individual business requirements.

3.3 Subject Company Risk Checks

Shows whether each risk check has run successfully and displays the current status:

Company AML ChecksComprehensive AML compliance scan of the company entity.
Mastercard/Visa CheckCard network blacklist check. Reviewers can monitor in real time and intervene manually when needed.
Charity/Society CheckSingapore NPO check only (triggered automatically for SG-registered entities). A HIT label indicates high money-laundering risk association.

3.4 Card Network Blacklist Check (Mastercard/Visa)

Prerequisites:
  • Customers must independently sign contracts with Mastercard/Visa and complete account and billing setup.
  • After completing the contract, provide the API key/authentication credentials to Advance.AI. AAI will handle backend configuration.

This module integrates Mastercard MATCH Check and Visa VMSS Check for identifying high-risk terminated merchants during the onboarding stage.

Risk Status Indicators

StatusMeaning
NO HITNo adverse records found in card network blacklists. Compliant entity.
HITCompany name, URL, legal representative, or shareholder info matches the card network blacklist. A risk warning is displayed.
PENDING REVIEWSystem identified a highly suspicious record via fuzzy/exact matching. Case is auto-intercepted and requires manual review. Click View Mastercard Match Details to drill down.

Manual Review Process

After clicking into the Pending Review page, the system provides a multi-source data comparison view:

  1. Match Type Indicator:

    • 🔴 M01: Exact Match — Key fields are exactly identical. Extremely high risk.
    • 🟡 M02: Phonetic Match — Matched via phonetic or fuzzy algorithm.
  2. Multi-entity Tabs: Separate tabs for Merchant Info{" "} and Principal Info. Review each independently.
  3. Comparison Table: Customer-submitted data vs. blacklist records. High-risk fields are highlighted in red with M01/M02 labels. Fields include: Name, MCC, Phone Number, Country/City/Postal Code, Address Lines.
  4. Final Decision:

    • Confirm Hit: Application moves to{" "} REJECTED.
    • Mark As False Positive: Removes the block and restores status to NO HIT. A comment is required.

3.5 Singapore Non-Profit Organization Check

📌 This module applies to Singapore-registered entities only. Triggered automatically based on the registration country in the API request.

AdvanGuard queries the Singapore Registry of Societies (ROS) and Commissioner of Charities to cover AML/CTF compliance gaps for non-profit organizations.

If the entity matches records in official Singapore channels, the system displays an orange HIT label, alerting reviewers to potential money-laundering risk.

4. Reports & Documents

Upload supporting documents for the enterprise entity. Supports centralized storage and verification of all proof documents (business licenses, articles of association, audit reports, etc.).

Click the Upload button. In the dialog, select a Document Type:

Click the upload area to select a file from your local machine. Supported formats: PNG, JPG, JPEG, PDF. Max file size: 20 MB per file.

After upload, click Confirm in the bottom-right corner to complete the operation.


5. Participatory Management

  • After processing, click the Complete button in the top-right to confirm the status.
  • All associated parties must be set to Confirmed before the Company Structure chart becomes available.
  • Once confirmed, all information for a party{" "} is locked and cannot be modified.

This module resolves "same-person/same-name" conflicts from different data sources, providing merge and revert functions to eliminate redundant records.

Parties are categorized into two sub-tabs:

Individual

Shows directors, authorized signatories, and other key individuals — with nationality and role information.

Company

Shows related corporate legal entities associated with the applicant company.

5.1 Merging Records

If the same subject appears multiple times from different sources:

  1. In the Individual panel, select records to merge (max 5 at a time) and click the merge icon in the top-right.
  2. Click Merge Participatory Records and check the data points to merge.
  3. The system displays multi-source data side by side. Select the data to retain per row. Use "Overwrite" to enter a custom value if all sources are inaccurate.
  4. Click Done to complete the merge.
  5. Click Confirm in the top-right to finalize the status.

5.2 Reverting a Merge

To undo a previous merge and restore independent records:

  1. Click the edit icon, then click Revert Participatory Records.
  2. Select the data points to restore.

At least 1 record must be selected, and at least{" "} 1 record must remain under the original ID. The reverted record gets a new Participatory ID.

6. Officers

After processing, click Complete in the top-right to confirm. Both Officers (6) and Stakeholder (7) must be completed before the Company Structure chart is unlocked.

Detailed information on individuals associated with the company as officers:

After reviewing all officer information, click Complete in the top-right to finalize this module.


7. Stakeholder

After processing, click Complete in the top-right to confirm. Both Officers (6) and Stakeholder (7) must be completed before the Company Structure chart is unlocked.

Detailed display of all stakeholder information associated with the company, including individuals and entities:

7.1 Shareholder Display Settings

For each stakeholder listed, click the edit icon to configure whether they are hidden from the Company Structure chart. All stakeholders are displayed by default.


8. Company Structure

View the shareholding relationships and control structure. This chart supports:

  • Ownership tree: Shareholder names, shareholding percentages, and holding types, direct or indirect.
  • UBO identification: Entities holding above the configured threshold, for example 25%, or declared as UBOs are automatically tagged.

Greyed-out nodes indicate a role that has been hidden in configuration. Click a node to view its details. To correct structural errors, return to the Participatory page to modify party associations.

9. Associated Profile Verified

This module provides the global Profile view for the KYB application, including all associated individuals and entities, their application status, and review progress.

9.1 Verification Checklist

Ensure all risk check items show the following statuses before approving:

Once all checks are verified, update the application status to APPROVED or REJECTED to complete the KYB task.

9.2 Risk Checks on Associated Companies

  • Company AML Checks: Full AML compliance scan of associated
    company entities. If an ERROR
    label appears, manual review of detailed matches is required.
  • Registry Checks: Runs automatically based on the preset Verification Level and feeds status back to this panel in real time.

9.3 KYC & AML Checks on Associated Individuals

In addition to verifying the company entity, KYC and AML checks on associated parties, including officers, shareholders, and agents, are essential for compliance.

KYC (Identity Verification)

When an individual's information is confirmed but not yet verified, the status shows NOT CHECKED. To initiate KYC:

Find the individual Profile that needs KYC. Click Generate ID Verification to create a verification link.

The system auto-fills the name and email address. Confirm and click Send Request. An encrypted verification link is emailed to the individual.

Status updates to IN PROGRESS once the request is sent. Click View Verification Details to monitor progress (KYC Session ID, Created At, Completed At).

If the user did not receive the email or the link expired, click Resend IDV Request to resend a new verification link.


AML Checks

If this module shows an error status, the individual may have matched a sanctions or PEP (Politically Exposed Person) list.
Click View Details for manual review.
